DEFRA 2024 · GHG Protocol · Claude AI · Invoice-level accuracy

Carbon accounting your finance team actually runs — from your invoices.

SpendToScope reads your Xero or QuickBooks invoices, applies DEFRA 2024 factors at line-item level, and produces reports your finance team can actually stand behind — for tenders, customer requests and voluntary disclosure.

Everything a Finance Director needs

Built specifically for finance teams who need carbon reporting without adding headcount.

🔗

ERP Connectors

Connect Xero or QuickBooks in minutes. SpendToScope pulls your invoices and line items automatically — no exports, no spreadsheets.

Automatic Carbon Calculation

104 DEFRA 2024 emission factors applied to every line item. Scope 1, 2 and 3 calculated instantly as invoices sync.

🤖

AI-Powered Category Matching

When invoice descriptions use internal account codes or ambiguous wording, Claude AI classifies each invoice into the correct DEFRA 2024 spend category — automatically. No manual mapping required.

📊

Carbon Ledger

A full audit trail of your emissions by scope, supplier, category and period. Built for the CFO and the sustainability team alike.

🌍

DEFRA 2024 Factors

Carbon Credits Marketplace

Offset your footprint directly from the dashboard. Browse verified projects, request quotes and track retirements.

📈

Finance-Ready Reporting

Exportable Scope 1/2/3 reports aligned with the GHG Protocol — ready for tenders, customer requests and net-zero targets, and standards-aligned (CSRD, TCFD) if you need it.

How it works

From invoice to insight in three steps

01

Connect your ERP

Authenticate Xero or QuickBooks with one click. SpendToScope securely pulls your chart of accounts, suppliers and invoices.

02

Carbon is calculated automatically

Every invoice line item is matched to a DEFRA 2024 emission factor. Scope 1, 2 and 3 figures appear within seconds of sync.

03

Report, reduce and offset

Download tender-ready and customer-ready reports, identify your highest-emission suppliers, and offset residual emissions through verified carbon projects.

AI-Powered

Every invoice mapped to the right DEFRA category — automatically

ERP account codes like “Account 445” and vague descriptions like “Professional Fees” don't contain enough for keyword matching alone. When pattern matching draws a blank, SpendToScope passes the supplier name and invoice description to Claude AI — which selects the correct DEFRA 2024 spend category from the authoritative list of 21 categories.

The AI response is validated against the 21 known DEFRA categories before it is applied. If the AI is uncertain, the system falls back to General Services — a conservative estimate, never a hallucinated figure. Results are cached per supplier so repeat invoices match instantly.

Three-stage pipeline: keyword patterns → Claude AI → General Services fallback
Only supplier name and invoice description sent to AI — never amounts, dates or bank details
AI output validated against 21 DEFRA 2024 categories before use
Per-supplier caching — AI is called once, not on every import

Comparison

How we compare

Most carbon tools are built for ESG consultants with big budgets. SpendToScope is built for Finance Directors who need invoice-level accuracy, not spend estimates.

Sage EarthFree add-on · Sage Accounting only

Included for existing Sage Accounting subscribers — but not available to Sage X3 or Business Central users, and limited to spend-based estimates.

WatershedEnterprise · $$$

The gold standard for Fortune 500 ESG teams — but overkill for mid-market finance, with opaque pricing and no native ERP connectors.

GreenlySMB · Spend-based

Accessible carbon accounting via bank feed imports, but no invoice granularity, no UK DEFRA specificity, and no ERP integration.

Security & Privacy

Enterprise-grade security, by default

Your financial and emissions data is sensitive. We treat it that way — with TLS 1.3 encryption, AES-256 storage, UK data residency, and strict access controls built into every layer. Our cloud infrastructure is independently certified to the standards below.

🔒

TLS 1.3 & AES-256 encryption

All data is encrypted in transit using TLS 1.3 and encrypted at rest using AES-256. Your financial data is never stored in plain text — at any layer of our stack.

🇬🇧

UK data residency

Your data is stored and processed exclusively in the UK (London region). We never transfer personal data outside the UK without appropriate safeguards in place.

🏛️

ICO registered — UK GDPR compliant

We are registered with the Information Commissioner's Office (ICO) as a UK data controller (registration no. on request) and operate in full compliance with UK GDPR. A Data Processing Agreement is available.

🔑

OAuth 2.0 read-only ERP access

We never see or store your ERP credentials. Connections to Xero and QuickBooks use official OAuth 2.0 with read-only scope — we pull invoices only. You can revoke access at any time from your ERP.

🛡️

Two-factor authentication

TOTP-based two-factor authentication is available for all accounts. Administrators can enforce 2FA org-wide to meet enterprise and insurance security requirements.

⏱️

Automatic session timeout

Sessions automatically sign out after 30 minutes of inactivity to protect unattended workstations. A 5-minute warning gives users the chance to extend their session before sign-out.

🔍

Organisation-scoped access controls

Every user can only see data belonging to their own organisation. Row-level security policies enforced at the database layer ensure strict data isolation between tenants — regardless of application logic.

🔗

Minimal data footprint

We request read-only access to your ERP and only pull the invoice fields required for carbon calculation — never payroll, employee records, bank account details, or customer data.

⚙️

Regular security assessments

Our application undergoes periodic third-party security assessments. Findings are triaged and remediated against defined SLA windows based on severity.

🤖

AI used only for category matching — no financial data shared

When invoice descriptions don't match a known pattern, SpendToScope asks Claude AI to classify the supplier into a DEFRA 2024 spend category. Only the supplier name and category description are sent — never amounts, dates, tax codes, bank details or customer data. AI responses are validated against 21 authoritative DEFRA categories before use. Your data is never used to train AI models.

SECURITYAVAILABILITYCONFIDENTIALITY

SpendToScope runs on cloud infrastructure that has been independently audited to SOC 2 Type II — the most rigorous trust services framework in the industry. INFORMATION SECURITY MANAGEMENT

The cloud infrastructure underpinning SpendToScope holds ISO 27001:2022 certification — the international standard for information security management systems (ISMS).
